Claim business expenses and record reimbursements

Prepare a private business claim, share a submitted revision with its reviewers, record decisions and retain evidence of actual reimbursement.

Prepare a private business claim, share a submitted revision with its reviewers, record decisions and retain evidence of actual reimbursement.

Follow a claim from private draft to actual reimbursement#

Prepare your own claim with the actual expense details and relevant original receipts. Saving a draft keeps its content private to you. Submission deliberately shares a frozen revision with the assigned expense reviewers, who approve, return or reject the whole revision with a recorded decision.

Approval establishes the accepted business claim; it does not prove that money was transferred. A permitted recorder separately records an actual outside reimbursement, its amount/date/reference and private proof. Partial reimbursements reduce the approved outstanding amount without creating another expense.

The first release does not execute bank payments, import card feeds, calculate mileage, per diem, payroll allowances or foreign-exchange conversions, or certify tax deductibility. Use the record that describes the event that actually happened.

Keep your unsubmitted draft private#

Unsubmitted claim content and draft originals are author-only. Owning or administering the workspace does not automatically disclose another person’s unsent receipts, purposes, merchants or amounts. Policy management is separate from access to claim content.

On submission, the claim deliberately discloses a frozen revision to the reviewers assigned under the policy. Other staff cannot obtain it through a guessed link, search, totals, an export, generic Files or a copied original URL. Your own history remains subject to current workspace membership. Claimant ownership does not grant access to reimbursement bank-proof originals: only currently permitted payment reviewers/recorders can view that evidence. Claimants receive the explicitly safe payment facts shown.

Use a corporate claim for the business expense you intend to disclose. Your personal workspace, household spending and unrelated personal files are not imported or shared. Avoid uploading full bank/card details, medical information or unrelated private transactions when narrower evidence explains the claim.

Use the explicitly selected business profile#

Business Expenses & Reimbursements operates in a corporate workspace. The business country is explicitly declared by the workspace; location, interface language and subscription-selling currency do not establish the applicable legal rules.

Switch to the intended corporate profile before preparing an employer claim. Personal spending apps are separate. A profile switch does not move claims, staff, evidence, accounting history, licences or storage allowances between workspaces.

Review the owner’s expense policy#

Review business identity, declared country, business currency and timezone; choose employee-paid, company-paid or both; configure categories, reviewer and reimbursement authority, segregation and evidence policy; then review the optional Accounting connection and country guidance.

Choose the policy your organization can operate. Strict separation needs a different eligible reviewer/recorder from the claimant. A documented single-manager policy can allow a sole eligible owner to review their own claim deliberately; it does not silently defeat strict separation.

Policy changes affect new actions and submission scope as described on screen. They do not rewrite prior submitted facts, decisions, actual money or ledger entries. Current action grants are checked again when an action runs.

The complete reviewer assignment list is saved together. If another administrator changed that policy while you were editing, your inputs remain available and the old policy cannot silently overwrite the newer one. Review the latest saved assignments before replacing them.

Distinguish employee-paid and company-paid costs#

Choose employee-paid when the claimant actually paid and seeks reimbursement of the approved business portion. Choose company-paid when the company already paid the source cost. A claim cannot mix both responsibilities; prepare separate claims.

A company-paid record does not create an employee reimbursement balance and must never be used to reimburse the same cost to the employee. Retain the actual company payment date/reference and proof as required. Approval alone is not evidence that the company’s bank paid.

Compare the choices: Distinguish employee-paid and company-paid costs
ChoiceWhen it fitsWhat it changes
Employee paidReview a business cost personally paid by the claimant. An approved business amount can be reimbursed through separately recorded actual outside payments.
Company paidReview a cost paid directly by the organization.Keep a company-paid record and reviewed payment evidence; no employee Reimburse action or payable is created.

Give each cost a useful category#

Use a clear business category and purpose for each actual expense. Category configuration may include the eligible cost account for optional Accounting and whether a purpose is required. Choosing a category does not establish deductible treatment, tax recovery or payroll classification.

Archive an obsolete category instead of rewriting historical claims. Historical submission and approval facts retain their own policy/account context. Review changed mappings deliberately before new recognition.

Enter source and business amounts exactly#

Enter the actual source amounts in the claim’s business currency using that currency’s supported decimal places. Subscription price rounding never applies to a receipt or reimbursement. Foreign-currency evidence needs review; the first release does not silently convert it.

Separate source net and labeled tax components from the declared business portion. Exclude personal-use amounts explicitly rather than disguising them as a negative discount. Review the final source gross, business gross, excluded personal portion and proposed reimbursement before submitting.

For example, a source receipt of 110.00 may have a reviewed business portion of 88.00. The reimbursable business gross is 88.00; a separately reviewed recoverable tax amount of 8.00 does not turn the employee reimbursement into 80.00. Accounting treatment and money owed answer different questions.

Review tax evidence separately from reimbursement#

Record each actual labeled tax component and the portion explicitly reviewed as recoverable. A registration checkbox, country, category or uploaded receipt does not automatically grant input-tax recovery. An unregistered business cannot claim positive recoverable input tax.

Source tax, business tax, reviewed recoverable tax and nonrecoverable business cost are distinct. Review registration, location, documentary evidence and timing under the applicable country rules. Unsupported combinations remain in review rather than creating an invented deduction.

The app does not submit expense tax filings, establish authority approval or calculate employment benefit/allowance treatment. Seek the appropriate local review for payroll, fringe benefits and unusual expenses.

Retain only relevant private originals#

Save a claim draft first, then retain its relevant source originals through the claim’s private evidence panel. Financial evidence is not a generic workspace file. Uploads are checked against the current per-file limit, allowed formats, source count and workspace storage allowance.

Source originals can include PDF, JPEG, PNG, WebP, XML, JSON, TXT or CSV. Files are retained as evidence and downloaded as attachments; the app does not treat their contents as commands or run unreviewed OCR. Checksums help detect repeated originals but do not prove authenticity.

Submission seals the originals attached to that revision. Returned work can retain additional originals in a new author-only draft without exposing them to reviewers until resubmission. Sealed historical originals remain retained even when a later draft is edited.

Review possible duplicate business records#

Matching receipt fingerprints or merchant/reference/date/amount facts can warn that an expense may already have been captured in another claim or Supplier Bills. A warning does not establish fraud or automatically prove two records describe the same event.

Review the actual originals and business context before continuing. Where an override is supported, record a specific reason. Duplicate warnings must not expose another claimant’s unsent receipt or private claim content. Do not recognize or reimburse the same source twice.

Understand returned drafts and submitted revisions#

Submission creates a frozen revision of the facts and relevant evidence shared for review. Reviewers decide on that version; they do not silently edit another person’s claimed amounts.

A reasoned return lets the claimant correct a new private working draft. The reviewer continues to see only the previously shared revision until the claimant explicitly resubmits. New receipts, merchants, purposes and amounts typed into the returned draft remain private.

Resubmission preserves the older revision and decision history and deliberately shares a new version. Rejected or withdrawn work follows the eligible recovery actions shown on screen; prior decisions and disclosures remain recorded.

Review an assigned claim without changing its facts#

Open the assigned review queue and read the submitted revision, claimant, payment responsibility, original evidence, source/business amounts, tax review and duplicate warnings. Use the relevant country guidance before the decision.

Approve the complete submitted revision only when its supported facts and policy are satisfied. If amounts, category, purpose or evidence need correction, return it with a useful reason. Reject an ineligible claim with a documented reason. Reviewers do not silently reduce a claimant’s number and call it the original claim.

The claimant, assigned scope, current membership, action grant and configured segregation are checked again at decision time. A saved old browser tab or previously copied URL does not retain revoked authority.

Choose a workable separation of duties#

Strict separation prevents a person from approving their own claim or recording their own reimbursement as configured. Assign enough eligible people to make the workflow operable. A role title alone does not grant all claim or bank visibility.

A single-manager policy is an explicit owner decision for an organization that needs a sole eligible owner to act. Review and document that choice in setup; it is not an implicit override of a stricter policy. Historical claimant/submission identity remains preserved.

Record a reimbursement that actually happened#

For an approved employee-paid claim, review the remaining approved amount and record the actual outside payment date, exact amount, method, non-sensitive reference and private proof. This records a transfer already performed elsewhere; it does not send money.

Partial reimbursements are supported up to the remaining approved amount. A second record cannot claim another employee’s settlement or overpay a balance. Approval, recorded external reimbursement and Accounting recognition remain visibly separate.

A failed Accounting attempt does not erase the actual money record or justify another bank transfer. Keep the original payment fact and proof, then review/retry its stable source when the ledger is ready.

Keep company-paid records out of employee reimbursement#

A company-paid claim records a cost already paid by the business. Retain its actual payment date/reference and proof. The employee does not acquire a reimbursement balance for that cost.

A company-paid source with a personal-use portion needs deliberate review of how the whole actual payment is accounted for. The first release must not silently invent an employee loan, payroll deduction or receivable mapping to balance an unsupported personal portion.

If a source was actually employee-paid, correct the working claim responsibility before submission or follow the supported correction workflow. Do not record a fictitious reimbursement to make a company-paid record look complete.

Choose standalone records or a compatible accrual ledger#

Standalone claim, review and reimbursement evidence has no hard app prerequisite. Optional Accounting requires installed, configured and licensed double-entry accrual Accounting with matching business identity, declared country and base currency. It is never installed or switched to another method silently.

An approved employee-paid business amount recognizes an expense/non-stock business asset and reviewed recoverable input tax against employee reimbursement payable. An actual reimbursement reduces that liability against the selected eligible money account, rather than recording the expense twice.

Reviewed category cost mappings, input-tax and employee-payable accounts and actual money accounts must have eligible distinct types/kinds. Inventory stock, customer receivables, deposits, income and equity are not generic employee-expense mappings. Company-paid recognition additionally needs actual payment evidence.

Accounting basis and tax timing are separate. Unsupported cash/accrual tax timing with positive recovery remains in review. Account mappings and source facts are retained with the relevant historical record.

Resolve Accounting review without inventing a second payment#

Review the stable source’s original expense or actual payment date, intended recognition date, exact journal and reason before posting or retrying. Closed periods, books-start dates, reconciliation locks, incompatible identity, changed accounts or unsupported tax treatment can require review.

If an open-period recognition date is used later, preserve the original actual event date and record a specific reason. The source is retried deliberately; no new reimbursement or duplicate expense should be created merely to clear a ledger error.

If the actual payment is known but its money-account mapping is not ready, retain the payment and proof first. A permitted recorder can select the reviewed money account on the retained Accounting source. That recognition mapping does not rewrite the actual outside payment or execute another transfer.

Posted financial history is corrected through the supported immutable counterpart workflow. A successful local entry does not establish tax authority acceptance, payroll treatment or bank settlement.

Correct decisions and money records truthfully#

A wrong approval uses an eligible reasoned decision correction and any required open-period journal reversal. Dependent reimbursements or other sources can block a shortcut; follow the recovery shown rather than editing approved source facts.

A mistaken reimbursement record uses a reasoned correction and allocation/journal counterpart. It does not reverse an actual bank transfer. Returned employee money needs a separately supported actual inbound workflow; the first release does not fabricate that event by changing a status.

Preserve the original reason, actor, date, evidence and counterpart history. Do not use a negative claim, editable paid flag or a deleted receipt to erase a financial fact.

Find permitted claims and revisions#

Use My claims for your own drafts and history, and Assigned review for revisions deliberately shared with your current reviewer scope. Search and filters remain scoped to those records. Lists and long evidence/activity histories are bounded and paginated.

An owner’s policy or aggregate management view does not unlock another person’s unsent claim content. Date filters describe the records stated on screen; they must not be interpreted as a historical reconstruction of all balances unless explicitly supported.

Export and print only the permitted record#

Scoped claim CSV exports summarize the permitted claim or revision, state, claimant, responsibility and exact source/business currency amounts. Claim print contains the permitted body, expense dates, business portions and state. Open the permitted claim history for actual-payment and Accounting recognition dates; these are not added to the summary export or basic print. Reviewer or administrator access does not export another author’s private working draft.

Spreadsheet formula-leading freeform content is neutralized for safe CSV handling without changing the retained original claim. Large exports are bounded; narrow the scope if the allowed limit is exceeded. Keep downloaded originals and financial exports appropriately protected.

Revoke staff access while retaining business history#

Current membership and record-specific grants are rechecked for links, originals, exports and actions. Removing a member revokes live access without deleting submitted revisions, evidence, decisions, actual reimbursements or journal history.

Historical claimant and actor names are retained where appropriate even when a membership or user changes. A different corporate/personal profile cannot inherit the departed person’s private draft or transfer business financial records.

Review the actual country and employee-treatment rules#

The declared business country begins the review; expense location, employee arrangement, supplier evidence and tax registration may also matter. Approval and receipt upload alone do not make a cost deductible or a reimbursement exempt from employment/payroll rules.

Australia requires distinguishing reimbursements from allowances and possible FBT/PAYG treatment. Saudi expense evidence is separate from ZATCA customer invoice clearance. UAE employee tax recovery is conditional. Canada needs documentary/provincial/place review; New Zealand evidence may span retained records; Singapore InvoiceNow and supported-currency limits remain explicit.

Use the shared country guide for reviewed source references and local recordkeeping context. This workflow records and reviews facts; it does not certify statutory compliance, execute government submissions or replace authority onboarding. Retention and legal holds must reflect the actual record, rather than one universal deletion timer.

Practice safely in the disposable demo#

The isolated demo provides the same supported claim/review/evidence workflow using fictional records and sandbox external effects. Use synthetic receipts and payment references; do not upload real private employee or customer evidence for testing.

Demo records expire under the workspace’s configured disposable lifetime. Demo approval, money records or local journal examples do not establish production tax approval, bank payment or paid-platform entitlements.

Keep the active workspace, actual business requirements and current setup summary in view. A guide explains a choice; it does not make that choice for you.
