Approve exact companies and buyers, publish private prices, review an actual order and keep original invoices, payment outcomes and retained access clear.
Give a known business a private way to order#
B2B Commerce connects a deliberately approved business customer, its approved locations and named buyers to an assigned private catalogue. The buyer reviews current quantities, prices, delivery and purchase terms before placing one original Ecommerce order. Its invoice, stock reservation, payment and fulfilment remain connected to the existing selling apps.
Company approval, catalogue publication, placing an order, collecting money and dispatching goods are separate decisions. An order confirmation is not a payment receipt, credit approval, tax-registration verification or proof of delivery. Keep Emnaro package billing separate from the invoices your business issues to its buyers.
- Review the shared company facts and configure the required selling apps.
- Approve the exact business customer, locations and buyer permissions.
- Prepare and separately publish the private catalogue, then assign it deliberately.
- Create a private buyer link and hand it to the intended person securely.
- Review a current quote and purchase reference, place the order once, and follow its actual invoice, payment and fulfilment status.
Connect existing selling records first#
B2B Commerce is a corporate app using configured Ecommerce and Invoicing with matching, owner-confirmed business identity, country and currency. Inventory is additionally required for linked stock sources; online collection requires the actual configured Payment Gateways connection. The installation page explains exact current prerequisites and app allowances. Install and configure missing apps explicitly.
The private buyer experience does not use a retail storefront theme. A retail theme licence does not grant access to B2B, and a private catalogue does not change whether an existing retail product is publicly available. Prepare actual physical products and delivery or collection methods in Ecommerce before adding their exact variants to a catalogue. Digital-only and service selling are outside this workflow.
Review operating access and new purchasing#
The owner reviews privacy, private-price disclosure and actual country obligations before saving setup. These acknowledgements document a review; they cannot supply a missing fiscal connector, prove a tax declaration or authorize an unsupported transaction. Established company facts are displayed for comparison rather than inferred again from language or location.
New purchasing starts deliberately disabled. Turning it off stops new purchasing authority without deleting original orders or declaring them cancelled or refunded. A later enablement requires current publication and access review; an old private link does not itself revive new purchasing.
| Choice | When it fits | What it changes |
|---|---|---|
| Owner and administrator operation | Keep commercial preparation with current business managers. | A staff grant does not widen this operating ceiling. |
| Explicit staff operation | Allow named catalogue preparation within existing selling permissions. | The person still needs the exact B2B role and current Ecommerce Team authority; company approval and private buyer keys remain owner work. |
| New purchasing enabled | Permit current approved buyers to request fresh quotes and orders. | Every purchase still needs the current company, location, catalogue, source and country checks. |
| New purchasing paused | Stop new orders while retaining original obligations. | Authorized original order, invoice and payment recovery remain separately available. |
Separate staff roles from external buyers#
Current owners and administrators approve companies, locations, buyers, catalogue publication, private links and duplicate-reference exceptions. A named catalogue operator prepares permitted drafts and imports within the current Ecommerce Team ceiling. A viewer reads only their authorized commercial records. A role does not grant unrelated customer, stock, private evidence or financial access.
Compare the stable staff reference, name and current workspace role before granting access, particularly when names repeat. Offboarding removes the explicit grant; rejoining does not revive it. Changing a profile or workspace in another tab cannot authorize a stale write. Current membership, scope, app entitlement, paid allowance and demo expiry are checked before an operation or an exact retry.
An external buyer is a separately approved person acting for one company. A matching email, shared company domain, CRM name or contact address never creates buyer permission or a workspace staff seat.
Approve the exact billing company#
Select the exact active canonical business customer and compare its legal identity, address, tax facts, country and stable reference. Search results are bounded; an independently selected customer remains visible when the search or page changes. Similar names and shared email addresses never substitute another identity.
Approval records the actual reviewed customer snapshot. If current identity changes, review the changed facts before further publication or purchasing. Previously issued documents retain their original legal identity. A company being a business does not establish resale exemption, tax registration, creditworthiness or permission to trade regulated goods.
Approve delivery and actual collection places#
Create and approve the precise company delivery locations buyers may use. For collection, select the exact actual Ecommerce pickup method and collection place; a general address or country match is not sufficient. The buyer selects from permitted approved locations rather than supplying an unchecked destination at checkout.
Location approval does not calculate destination tax or prove that a product may legally be delivered there. The current source checks the exact country, region, product treatment, delivery method and supported invoice facts. Pausing a location blocks new purchases there while preserving separately authorized original history.
Give each buyer deliberate purchasing and history scope#
Approve the named person for one exact company, the allowed locations and the particular purchasing and original-order permissions. Compare the stable buyer reference as well as their displayed identity. The buyer cannot extend their own company, location or catalogue assignment.
Order history is always limited to the approved company. Choose whether the person sees only their own original orders, orders for their currently approved locations, or all company orders. This is an explicit disclosure decision: company-wide history can include purchases made by other approved buyers. Revoking a buyer or expiring/revoking the private link removes that access.
| Choice | When it fits | What it changes |
|---|---|---|
| Own orders | Limit history to this stable buyer identity. | A newly rotated link for the same buyer can retain their authorized originals; another buyer with the same email cannot. |
| Approved-location orders | Share the orders for this buyer’s currently allowed locations. | Removing a location from the buyer’s scope removes that location’s history from this view. |
| Company orders | Allow a responsible person to oversee the company’s orders. | This deliberately shares all authorized original orders within that exact company, never another company. |
Prepare a distinct private assortment#
Create a catalogue draft in the existing selling currency and add exact current physical variants. Compare product name, SKU and stable reference, then set the private base price, minimum and maximum whole quantity and pack multiple. Prices come from this reviewed private source, not a buyer-submitted total or an automatic retail price discount.
A revision supports up to 500 unique variants. Keep drafting separate from the published revision: saving an edit never silently changes a buyer’s active assortment. Retained old revisions provide the original terms and prices behind their orders; they are not a promise that an old product or image remains currently sellable.
Explain quantity prices and pack rules#
Each exact variant may have up to ten ordered quantity-price thresholds. Whole quantities must fit the minimum, maximum and pack multiple, with thresholds increasing and tier prices not increasing. The current server quote chooses the applicable reviewed price. A price tier is not a reservation, customer credit limit or permission to exceed stock.
Use the original currency’s supported precision. Money is calculated by the server in exact currency units; unsupported extra precision, scientific notation or currency conversion is rejected rather than rounded into another offer. Tax-inclusive and tax-exclusive presentation follow the established current Invoicing and product facts.
Publish the exact reviewed revision#
Owner publication review compares the complete draft assortment, private prices, quantity rules, merchant identity, currency, tax scope, purchase terms and current source readiness. Confirm that exact revision only after reading the review. A changed version, identity or source invalidates the earlier decision.
Publication is not approval for every buyer destination. The buyer’s eventual quote separately checks the actual approved company and location, current products, delivery, stock and country facts. Assign a current published catalogue to the intended approved company deliberately. An old screenshot or expired quote cannot authorize changed prices.
Keep merchant and private purchase terms together#
The reviewed order and original invoice retain the exact stored merchant purchase terms followed by the private catalogue terms, under separate readable labels. These are public commercial text for the buyer. Private approval evidence, staff notes, secret links and internal exception reasons must not be copied into them.
The combined terms are bounded at 20,000 characters, including their headings and separators. If the source text exceeds the bound, shorten and deliberately re-review it before publication or ordering. The app rejects overflow instead of truncating accepted terms. The buyer cannot override the invoice title, notes or terms in a request.
Import only into the exact editable catalogue draft#
Open the intended catalogue draft and download its sample CSV. A dedicated import accepts UTF-8 CSV or plain XLSX with up to 200 rows, using the exact provided 30-column order. Every row repeats the same target catalogue, revision, version and currency and names an exact current variant and expected SKU. No targetless generic import can publish private prices.
Review the bounded before/after preview and every row error. The fixed upsert operation updates matching variant rules, appends new variants and retains unlisted rows; it does not silently delete them. Tier pairs must be complete and ordered. The combined draft must still fit the 500-variant bound.
Preview changes no live assortment, invoice, stock or payment. A confirmed commit applies the whole reviewed batch once or none of it, after rechecking current authority, target and source. The protected preview expires after one hour. A stale or invalid preview requires deliberate correction and a new review; an exact completed retry does not apply the rows twice.
Hand a private buyer link to the intended person#
Issue a deliberately scoped link only after approving the exact buyer and company. Its secret is shown once. Copy it directly to your intended secure handoff; the application does not automatically email it or keep a recoverable plaintext copy. Treat possession as access within the permissions and expiry you approved.
The secret fragment is removed from the browser address and history before the private application initializes, then kept only in the current page’s memory. Clearing private access or closing the page loses that in-memory key. Do not paste links into notes, purchase references, public pages or screenshots. A lost one-time disclosure needs deliberate rotation, not an assumed resend.
Rotation replaces the old key without changing the stable buyer’s permitted original-order identity. Revoked buyers require a fresh owner approval before new access; reinstalling the app, enabling purchasing or reusing an email cannot revive them. No private link grants workspace staff access.
Review a current quote before ordering#
The private buyer page opens only after validating the exact link and host. It identifies the merchant, approved company, permitted location and assigned published catalogue. Choose actual whole quantities and a permitted delivery or collection method, then request the current server quote.
Compare item quantities, tier prices, discounts, tax, delivery, total, currency and exact purchase terms. The quote is an offer review, not a stock hold or payment. Changing the cart, destination, purchase reference or commercial terms requires another quote and confirmation. Expired or changed source facts require a fresh review without silently reusing an old approval.
Prevent accidental duplicate purchase references#
Provide a nonempty purchase-order or purchase reference for the real order. The app collapses the specified whitespace and folds ASCII lowercase letters to uppercase for duplicate checking; other Unicode remains literal. It does not claim general international case-insensitive matching.
If the same reference was already used, compare the existing original order first. A current owner may approve one deliberate duplicate exception for the exact reviewed company, buyer, destination, items, prices, delivery and terms. That approval cannot authorize another cart or another company. Stock-only changes are still rechecked at commit; the exception never guarantees stock or bypasses current prices.
For a deliberate repeated PO, the buyer opens “Supplier review for a repeated PO” in the current quote and copies its quote review code to the supplier securely. This opaque, expiring code is separate from the private buyer access key. The owner uses Duplicate references to review that exact current intent and returns the approved reference. The buyer then changes the draft, enters that reference and reviews a fresh quote. Changing the reviewed goods, destination or other commercial facts requires another deliberate owner review.
Place one original order and retain an uncertain outcome#
After deliberate final confirmation, the actual original order, item facts, canonical invoice and applicable stock reservation complete together. A failed transaction must not leave a second invoice or partly accepted order. Order placement does not mean the invoice has been paid or the goods dispatched.
While a request is in progress, leave its inputs unchanged. If the response is lost, preserve the exact request and operation reference and check that original outcome before sending another purchase. An exact retry uses the same body and request identity. A later validation or unavailable-authoring response does not prove that the earlier request failed. Use the receipt check while the private link still has authorized original-order access.
Switching private links clears the old buyer’s records, media and pending request state before loading the new company scope. A late response from the previous link cannot populate the new view. If access is revoked or expires, obtain a deliberate current owner handoff rather than repeatedly submitting the old purchase.
Distinguish payment methods from actual payment outcomes#
Online collection is available only for an original online-payment order with the current actual gateway, currency and canonical payable conditions. A bank-transfer or cash-on-delivery original retains that offline method; opening its private history does not turn it into a new online collection. Recorded outside receipts remain distinct from a provider-confirmed payment.
A provider handoff, browser return, screenshot or reference does not settle an invoice. Pending or unknown attempts remain attached to their original order and must be reconciled through the real payment source. Do not start a second charge, release stock or declare a refund because the browser was closed or returned an error. No off-session charge, credit account, automatic refund or payment mandate is created by buyer approval.
Read the original invoice, payment and delivery facts#
Authorized original history keeps its captured company, buyer, location, prices and terms. Search and pagination apply the current buyer’s permitted history before counts and selection. A paused company, location or catalogue does not by itself erase a still-authorized original; revoked or expired buyer access does.
Open the exact original invoice or PDF deliberately. The private view does not create or rotate an ordinary public invoice token just by reading it. Current invoice/payment permissions and real payable conditions still govern any payment action. Product media is a current authorized image, not a retained promise that historical binary files remain available.
Fulfilment, Shipping and Returns retain their own actual source permissions and workflows. An order state, financial credit, recorded outside refund, stock return and carrier-delivery statement are different facts. Reordering starts a fresh current catalogue and quote review rather than copying historical prices into an accepted order.
Read exact country readiness without assuming certification#
New purchasing is checked against the current confirmed merchant, approved billing company, delivery or collection place, native reporting currency, actual tax declarations, exact product treatment and complete invoice source/rendering. A supported verdict describes only that represented transaction. Language, currency, country choice, a tax number and an owner checkbox are not statutory approval.
This initial scope checks domestic transactions in the same merchant country and native reporting currency. Foreign or reporting-currency conversion, cross-border treatment, exemptions or resale certificates, compound taxes, unsupported tax precision and a distinct unrepresented tax point require review. These are product limits, not a claim that foreign-currency invoices are legally prohibited.
Ordinary local candidates such as AU/AUD, NZ/NZD, GB/GBP, CA/CAD or QA/QAR are not automatically enabled by their country code. Each exact combination needs current complete source and actual rendered facts. A required missing local-tax amount, structured format, component label, date or production fiscal exchange remains unavailable or needs review; invoice notes cannot manufacture that evidence.

Keep fiscal generation and exchange evidence separate#
Applicable Saudi or Pakistani fiscal workflows require their actual currently required production source and authority evidence. A disabled optional enforcement checkbox, unknown phase, sandbox response, PDF title or successful ordinary invoice test cannot provide missing production clearance or reporting.
A distinctly established nonapplicable local commercial scope is reviewed on its actual facts; the app does not impose an invented country-wide legal ban. Current applicable phases and effective transitions are checked again for publication, quote and final order. The merchant remains responsible for the actual business, product, customer and local obligations.
Keep retained order recovery reachable#
Current corporate owners and administrators can reach /b2b-recovery from the app library, including on mobile, after B2B is disabled or its authoring entitlement ends. It shows bounded retained order metadata and deliberate private-access management, without reviving catalogue editing or fresh purchasing.
A still-approved buyer may receive a deliberate retained view-orders or payment-only link within the current canonical Invoicing ceiling. Original payment recovery remains subject to actual gateway, currency, reservation and payable truth. Revoked buyers require a fresh owner approval; retained access never restores a revoked key or grants another company’s history.
Correct invoices, payments, physical returns and dispatch through their original authorized apps. Recovery does not fabricate a replacement invoice, mark a provider refund, reprice old goods or bypass a current financial writing allowance.
Compare changes without losing a deliberate draft#
Staff forms retain entered values on validation and return to their exact form even when another tab has changed the session’s previous page. A stale version or changed review requires comparison with the current record; the old entered draft must not silently adopt a new source version or confirmation.
A confirmed operation and identical uncertain retry keep the same scoped request identity. Changing its body, target or approved facts requires a new deliberate operation after resolving the old outcome. History shows the retained actor and recording facts for that audience; private evidence, buyer secrets and payment/provider payloads are not ordinary catalogue history.
Export only the records the current role can read#
Use the exact authorized filters and the bounded CSV or spreadsheet export offered on the current collection. Exports are limited to 500 rows; narrow the search if necessary. Selected records are resolved independently of the page while retaining the same current company and role scope.
An export is not permission to disclose private buyer evidence, key material, provider payloads, costs or unrelated customer history. Dedicated catalogue imports can edit only reviewed draft rules. Shared data tools cannot create buyer approval, published offers, stock, issued invoices, payments, fiscal acceptance or historical orders from a spreadsheet.
Limit private prices and personal data to their purpose#
Keep company identity, contact details and approval evidence proportionate to the actual trading relationship. Deliberately review which person may see private prices, which company’s orders they may read and how the link is handed over. Private commercial approval does not verify an email or opt anyone into marketing.
No automated invitation, email delivery, external customer matching or public buyer directory is implied. Revoking access preserves original commercial and financial evidence under the applicable retention obligations; it is not a completed data-subject erasure process. Review actual privacy and recordkeeping requests with the responsible person.
Demo data and synthetic tests remain isolated and expire under demo controls. They demonstrate the tested product workflow, not production collection, permitted goods, taxpayer onboarding, fiscal certification or universal compliance.
Keep the active workspace, actual business requirements and current setup summary in view. A guide explains a choice; it does not make that choice for you.
